Everything you need to know, step by step — from connecting Tally to pushing your first vouchers.
Get started in 4 steps
Your client's data in, Tally vouchers out. Each step is explained in full below.
Sync Client
Import the client from Tally, or add it by hand, and bring its ledgers across.
Sync a clientUpload Data
A bank or loan statement, a purchase or sales register, or a GST return.
Upload a statementSet up
Before you begin
What you need on your computer, and how the free trial works.
Your AI Accountant reads your clients' bank statements, loan statements, purchase and sales data, suggests the right Tally ledger for each entry, and posts the vouchers straight into TallyPrime. Nothing reaches Tally until you have reviewed it and clicked Push to Tally.
What you need
- Google Chrome on a Windows desktop or laptop — the setup we test and support. The Tally Connector is a Chrome extension, so Edge, Firefox, Safari and mobile browsers cannot push to Tally.
- TallyPrime running on the same computer as Chrome, with the client's company open. A Remote Desktop (RDP) or Citrix session works too, as long as Chrome and Tally both run inside that one session.
- Your client's data: a bank or loan statement (PDF, Excel or CSV), a purchase or sales register, or a GST return downloaded from the GST portal.
Signing up
- 1Click Start free trial on the home page, or sign up with your Google account.
- 2Enter your name, email address and a password. The password needs at least 8 characters, with an uppercase letter, a lowercase letter and a number.
- 3We email you a 6-digit code. Enter it within 10 minutes and click Verify & Continue.
- 4You arrive on the Dashboard, where a four-step setup guide opens: Install Connector, Sync Client & Ledgers, Upload Statement and Transaction Workspace. You can skip any step and return to it later with Resume getting started.
Your free trial
Every new account gets a 14-day free trial with 500 voucher credits and 1 client. The 14 days count from the day you sign up. The top bar shows what is left, for example Trial · 9d · 420 credits left. When the trial ends, buy a plan from Billing to continue — see Credits, plans and billing.
Set up
Connect to Tally
Install the Chrome extension, switch on Tally's connectivity and check that both are talking.
The Tally Connector is a small Chrome extension that lets this website talk to TallyPrime on your computer. Nothing is installed inside Tally, and nothing is sent to Tally unless you ask for it.
Step 1 — Prepare TallyPrime
- 1Open TallyPrime and load the client's company.
- 2Press F1 (Help) and go to Settings → Connectivity.
- 3Set TallyPrime acts as to Both, and note the port number. The usual port is 9000; any port from 9000 to 9100 works.
- 4Accept the change. Keep Tally open whenever you pull ledgers or push vouchers.
Step 2 — Install the extension
- 1In Google Chrome, open Connector from the sidebar, or click Connector at the top of the screen.
- 2Click Add to Google Chrome and add the extension from the Chrome Web Store.
- 3Come back to the Connector page and reload it. The extension pairs itself with your account automatically — there is no code to type.
Step 3 — Check the connection
The Connector page shows two status cards. Both should turn green.
| Card | What you should see | If it is not right |
|---|---|---|
| Extension | Connected — YAA Tally Connector and its version | Not detected: install the extension, then reload the page. Not connected: reload the page, or sign out and sign in again. |
| Tally | Connected on port 9000 (or your port), with the open companies listed | Not reachable: make sure Tally is open, TallyPrime acts as is set to Both, and the port matches. If you use antivirus or a firewall, allow Tally to accept local connections. |
Using a different port
If Tally uses a port other than 9000, type it in Tally Port on the Connector page and click Save Port. Only ports 9000 to 9100 are accepted. The same setting is in Settings → Bridge & Tally.
When more than one Tally is open
The Connector looks at every port from 9000 to 9100. If it finds more than one Tally, it warns you, because a push or pull must reach exactly the right books. Either close the Tally windows you are not working in, or run each Tally on its own port and set the right one before you start.
Set up
Add your clients
Create a client by hand, or import it straight from Tally with its ledgers.
Each client here stands for one company in Tally. Open Clients from the sidebar.
Import a client from Tally (recommended)
- 1Open the company in Tally and check that the Connector is green.
- 2On the Clients page, click Sync Client. We scan Tally and list the companies that are open.
- 3Click Create Client next to the company. Its name, GSTIN and PAN are filled in for you.
- 4Save. We then pull the company's ledgers and stock items on our own. This usually takes one to five minutes, so please keep the tab open.
Add a client by hand
- 1Click Add Client.
- 2Enter the Client Name. GSTIN, PAN and Contact Email are optional; a GSTIN or PAN is checked for the right format and check digit.
- 3Leave Tally Company blank. It is filled in on your first push, after you confirm which company to use.
- 4Click Add Client.
Editing or deleting a client
- Open the menu on the client's row and choose Edit details or Delete client.
- If you change the linked Tally Company, we ask you to confirm, because every later push will go to the new company.
- To delete, type the client's name to confirm. This removes the client's uploads, transactions and ledgers from Your AI Accountant. Vouchers already pushed stay in Tally, and credits already used are not refunded.
- A client cannot be deleted while one of its statements is processing or a push is running.
Set up
Ledgers: Pull Ledgers and Ledger Master
Bring the client's chart of accounts across, so every suggestion points to a real Tally ledger.
We only suggest ledgers that already exist in the client's Tally. So bring the ledgers across before your first upload — if you imported the client with Sync Client, this is already done.
Pull Ledgers
- 1Open the client's company in Tally.
- 2Click Pull Ledgers at the top of the screen.
- 3Click Connect to Tally. Choose the Tally Company, and under Associate with Client choose the client.
- 4Click Pull Ledgers. Stock items, voucher types, cost centres and units come across as well.
Pull again:
- before your first push for a client;
- after you create new ledgers in Tally — for example bank or GST ledgers, which we never create for you;
- when the client's own voucher types (such as "B2B Sales") are missing from the Voucher list.
No Tally on this computer?
In the Sync Client & Ledgers step of the Dashboard setup guide, you can Start from industry defaults (choose the client's industry and we create a standard set of ledgers) or Import ledgers from a CSV with the columns ledger name, group and opening balance. Bank, GST and TDS ledgers are left for you to create in Tally.
Ledger Master
Ledger Master shows the client's ledgers grouped by their Tally group, with opening balances and GST rates. You can search, filter by Income, Expense, Asset or Liability, tick Hide zero balance, and Export CSV. Ledgers are not created on this page: create them in Tally and pull again, or add one while reviewing a transaction.
Bring in data
Bank statements
Upload a statement; every entry is read, checked against the balances and given a suggested ledger.
- 1Open Banking from the sidebar.
- 2Choose the Client and the Bank Ledger — the client's ledger for this bank account in Tally. Only ledgers under the bank groups are listed; if yours is missing, choose — Can't find it? Show all ledgers — or click Type manually.
- 3Drop the file into Statement File. PDF, Excel (.xlsx, .xls) and CSV are accepted, up to 200 MB each, and you can pick several files at once.
- 4Click Upload & Process. We estimate how many vouchers the file holds and how many credits you have, then start reading it.
- 5When it is done, the Upload Summary opens. Click Review all transactions & push to Tally to begin reviewing.
Password-protected PDFs
There is no need to remove the password. We ask for it before processing (Unlock & Estimate), or you can click the lock icon in the Document Library and enter it there. You get five tries per file. Password-protected Excel files cannot be opened — save an unprotected copy and upload that.
Scanned or photographed statements
We try to read scanned pages with text recognition, but the results are less dependable. If nothing can be read, the file fails and no credit is used. When only some pages are scanned, the readable pages are processed and we tell you which pages were skipped, so you can add those entries yourself. A digital statement is always the better choice.
The balance check
Before saving a statement, we check that the opening balance, plus all credits, less all debits, equals the closing balance printed on it (within ₹5). If it does not add up, some entry has been misread — so the statement is not saved and no credit is charged. Upload the Excel version from net banking, or use our template.
Document Library
The panel on the right lists every statement for the client with its date range, bank ledger, status and number of transactions.
| Status | What it means |
|---|---|
| Queued | Waiting to start. |
| Processing… | Being read. Most statements finish within a few minutes. |
| Processed | Ready. Click the eye icon to review the entries. |
| Failed | Could not be read. Open Details to see why. Nothing is charged. |
| Needs Password | Click the lock icon and enter the PDF password. |
| Confirm Dates | Some dates could be read either as DD/MM or MM/DD. Click the chip and choose the right format. |
| Low Balance | Paused for want of credits. Buy credits, then click Resume — there is no need to upload again. |
- Download Original gives back the file you uploaded. Original files are kept for 90 days.
- Stop processing cancels an upload that is still running.
- Reprocess tries a failed upload again.
- Delete upload removes the statement and all its transactions. Credits already used are not returned. Once any entry from it has been pushed to Tally, undo the push before deleting.
The same file twice, and overlapping statements
If you upload a file that is exactly the same as one already uploaded for this client, we stop and ask first. Choose Upload anyway only if you really want a second set of vouchers. If two statements merely overlap in dates, the repeated entries are marked Duplicate? — they are not charged, and they are left out of the push unless you include them.
Bring in data
Loan statements
Post disbursements, EMIs, interest and charges from a lender's statement.
- 1Open Loan Statements from the sidebar.
- 2Choose the Client and the Loan Ledger — the loan account in Tally. Ledgers under the loan groups (Secured Loans, Unsecured Loans, Loans (Liability), Term Loans and the like) are listed; use Show all ledgers or Type manually for any other.
- 3Drop the statement (PDF, Excel or CSV, up to 200 MB) and click Upload & Process.
- 4In review, choose the other side for each entry: the bank ledger for EMIs and disbursements, or an expense ledger such as Interest on Loan or Bank Charges.
Each line of the statement becomes one voucher. EMIs are posted as one amount; they are not split into principal and interest. The voucher type is decided by the ledger you choose:
| Entry on the statement | Other ledger you choose | Voucher posted in Tally |
|---|---|---|
| Loan disbursed | Bank | Receipt — Bank Dr, Loan Cr |
| EMI or repayment | Bank | Payment — Loan Dr, Bank Cr |
| Interest, processing fee, bounce charges | Expense ledger | Journal — Expense Dr, Loan Cr |
| Waiver or reversal | Expense ledger | Journal — Loan Dr, Expense Cr |
The loan template on the page has three money columns: Debit for anything that increases the loan (disbursement, interest, charges), Credit for anything that reduces it (EMI, repayment), and Balance for the amount outstanding.
Bring in data
Purchase data: register, GSTR-2B and GSTR-2A
Turn a purchase register or a GST return into purchase vouchers with GST.
| Data Source | File to upload | What you get |
|---|---|---|
| Purchase Register | Our Excel template (.xlsx or .xls) | Purchase vouchers, debit notes and credit notes from your own register |
| GSTR-2B | Excel or JSON from the GST portal (JSON up to 25 MB) | Draft purchase vouchers from B2B invoices, credit and debit notes, and imports (IMPG) |
| GSTR-2A | Excel, CSV or JSON from the GST portal | Draft purchase vouchers from B2B invoices, credit and debit notes, and imports |
- 1Open Purchase Data and choose the Client.
- 2Under Data Source, pick Purchase Register, GSTR-2B or GSTR-2A. For the returns, Download from GST Portal opens the portal in a new tab.
- 3Drop the file and click Upload & Process. It usually takes about 30 seconds.
- 4The Upload Summary opens when it is done. Review the vouchers and push them to Tally.
Filling the purchase register template
- Click Download Template (.xlsx). It has two sheets, With Inventory and Without Inventory. Fill only one of them.
- Every row needs an Invoice Date (DD-MM-YYYY), a Supplier Name and at least one amount.
- For an invoice with several items or tax rates, repeat the Invoice Number on each row.
- Type the tax exactly as on the invoice — IGST Amount for inter-state, CGST Amount and SGST Amount for intra-state. We use your figures as they are; we do not work them out from the state.
- Total Amount may be left blank; we add the taxable value, taxes and cess.
- The sample rows (invoice numbers starting with EXAMPLE) are skipped, so you may leave them.
- Headings are matched by name, so you can re-order columns — but keep the heading text unchanged.
Purchase returns and notes
Either write Debit Note (for a purchase return) or Credit Note in the Voucher Type column and keep the amounts positive, or leave Voucher Type blank and enter the total as a negative figure — a blank type with a negative total becomes a Debit Note. Brackets such as (1,234.00) count as negative. If you write Purchase but the amounts are negative, we post it as an ordinary purchase and mark it for you to check.
Checks on every invoice
- Taxable value plus GST does not equal the invoice total (a gap of more than ₹1).
- Both IGST and CGST/SGST appear on the same invoice.
- The GST works out to a rate that is not a GST slab — usually two rates on one line.
Invoices with these warnings are marked for review. Rows with no date, no supplier or all-zero amounts are not imported; the Document Library lists each one with its row number so you can correct the file.
GSTR-2B and GSTR-2A
- Download the return from the GST portal and upload it without editing it.
- A supplier's credit note is booked as a Debit Note voucher, which reduces the purchase and the input tax.
- For imports of goods (bill of entry), the party is left for you to set during review.
- Supplier names come from the return, or from the client's ledger with the same GSTIN.
- Invoices already imported for this client — same invoice number, GSTIN, date and amount — are skipped on their own.
- If the return was filed under a different GSTIN from the client's, or its period does not match, every voucher from it is marked for review.
- Amendments, ISD entries and a few other sections of the return are not imported.
Ledgers for purchases
During review, set the Party Ledger (the supplier), the Purchase A/c, and the input CGST, SGST or IGST ledgers. We suggest them from the client's existing ledgers. A missing supplier ledger is created in Tally for you at push, under Sundry Creditors. GST and TDS ledgers, and anything under Duties & Taxes, are never created for you — create them in Tally and pull ledgers again. To save time, set a default purchase ledger under Mappings → Default Sales & Purchase Ledgers.
- The supplier's invoice number and date go into the voucher's reference fields in Tally. If you fill the Reference Number column, that is used instead.
- Click TDS in the review toolbar to show the TDS Ledger and TDS Amt columns.
- For a nil-rated or exempt value, open the row's details (press Enter on the row) and fill Nil-rated / Exempt. Choose an Exempt Ledger to post it separately, or leave it blank to post it to the Purchase A/c.
Bring in data
Sales data: register and GSTR-1
Turn a sales register or GSTR-1 into sales vouchers, credit notes and debit notes.
| Data Source | File to upload | What you get |
|---|---|---|
| Sales Register | Our Excel template (.xlsx or .xls) | Sales vouchers, credit notes and debit notes from your own register |
| GSTR-1 (JSON) | The GSTR-1 JSON from the GST portal (up to 25 MB) | B2B invoices, credit and debit notes, and export invoices |
- 1Open Sales Data and choose the Client.
- 2Pick Sales Register or GSTR-1 (JSON) under Data Source.
- 3Drop the file and click Upload & Process. It usually takes about 30 seconds.
- 4Review the vouchers when the Upload Summary opens, then push them to Tally.
Filling the sales register template
- Click Download Template (.xlsx) and fill either With Inventory or Without Inventory — not both.
- Every row needs an Invoice Date (DD-MM-YYYY), a Customer Name and at least one amount.
- Repeat the Invoice Number on the next row for another item or tax rate on the same invoice.
- Type the GST exactly as on the invoice. Place of Supply is carried to Tally, but the tax split is taken from your figures.
- Reference Number and Reference Date are for the buyer's order; they go into the voucher's reference fields.
- For credit notes, you may pick a Credit Note Reason such as 01-Sales Return.
Sales returns and supplementary invoices
Write Credit Note in Voucher Type for a sales return, or leave it blank and enter a negative total — both become a Credit Note. In a sales register, a Debit Note is a supplementary invoice that adds to the sale. Negative figures in brackets, such as (1,234.00), count as negative.
What GSTR-1 brings in, and what it doesn't
From GSTR-1 we import B2B invoices, credit and debit notes, export invoices, and B2C sales: each large B2C invoice as its own voucher, and small B2C sales as one summary voucher per place of supply and rate, dated the last day of the return month. B2C vouchers use the client's existing Cash ledger as the party; if there is none, choose the party before you push. Nil-rated and exempt supplies, advances and amendments are not imported, and the HSN and documents-issued tables are summaries that Tally does not need. When something is left out, we tell you its taxable value and tax, because the sales in Tally will then not match the filed return. Buyer names come from the client's ledger with the same GSTIN; if we cannot find one, the buyer shows as its GSTIN and must be renamed before you push.
Ledgers for sales
- Sales ledger: we pick the client's ledger with "Sales" in its name, or you can set a default under Mappings → Default Sales & Purchase Ledgers. We never make up a "Sales Account" ledger in the client's Tally.
- Output GST ledgers (for example Output CGST 9%, Output SGST 9%, Output IGST 18%) must already exist in Tally.
- Customers: create new customers in Tally under Sundry Debtors and pull ledgers before pushing, so they carry the right group and GSTIN.
- Round off: a difference of up to ₹1 between the items and the invoice total goes to Round Off. A bigger gap stops the push until you correct the amounts.
- Stock items (With Inventory sheet): items missing in Tally can be created from the push screen with Create Stock Item(s) in Tally.
Review and push
Review and categorise transactions
Check each entry, accept or change the suggested ledger, and save.
Open Transactions, click a client, then click the upload you want to review. Uploads are grouped under Bank Statements, Loan Statements, Purchase Data and Sales Data. Each row shows the date, narration and amount, the Suggested Ledger, and the Ledger you finally choose.
How to read a suggestion
| Label | What it means |
|---|---|
| Exact Match | Matches a ledger in the client's Tally by its name, an alias you approved, or the GSTIN. |
| High Match | Strong evidence — a rule you made, a choice you have confirmed several times, or a well-known narration. |
| Medium Match / Low Match | Seen only on purchase and sales data. Check these before accepting. |
| Not in Tally | The name came from your file, but no such ledger exists in Tally yet. Click Create to add it. |
Choosing a ledger
- Click Accept in the Suggested Ledger column (or press A) to take the suggestion.
- Or click the Ledger cell (or press L) and type to search by ledger name or group. Your recently used ledgers appear at the top.
- Press C to copy the ledger from the row above — very handy for runs of similar entries.
Working on many rows at once
- Tick the rows you want. The box in the header selects the rows on this page; click Select all … matching these filters to take every matching row.
- A bar appears with Accept Suggestions, Assign Ledger, Ask Client and Delete. For purchase and sales data, Assign Ledger first asks which column to fill — Party, Sales, CGST, SGST, IGST, TDS or Exempt ledger.
- After you give the same ledger to two or more similar rows, we offer Create Rule so that future uploads are filled in automatically.
More you can do on a row
- Voucher type: click the coloured badge to change it (Payment, Receipt, Contra and so on). Once ledgers are pulled, the client's own voucher types appear here. Contra is never chosen automatically — pick it yourself for transfers between the client's own bank and cash accounts.
- Narration: double-click it to edit (bank entries only).
- Split: click the scissors icon to split one entry across several ledgers. The lines must add up exactly. Splitting into N vouchers uses N−1 extra credits, and a split cannot be merged back.
- Details: press Enter on a row to open its details — notes, GST details, register fields and history.
- Right-click a row for Accept Suggestion, Assign Ledger, Add Note, Split Transaction, Select Similar and Delete.
Watch for the badges under a narration: Duplicate? (the same entry is already on another statement), Review (we want you to check something — hover for the reason) and Not charged (a row we could not use, which costs no credit).
Creating a ledger while reviewing
Type a new name in the ledger list and choose + Create "…". In the Add Ledger window, enter the name and Ledger Group; the GSTIN, GST rate, address, PAN and opening balance are optional. The ledger is created in Tally when you push. Groups marked — create in Tally manually (bank, cash, loans, capital, duties & taxes, provisions, investments, fixed assets) are never created in Tally for you — make those ledgers in Tally and pull ledgers.
Finding entries and exporting
- Search descriptions… looks through the narrations.
- Tick Needs ledger, Ready or Pushed to filter by status (a row moves Needs ledger → Ready → Pushed), or filter by suggestion strength, amount (1,00,000 or ₹1,00,000 both work), date (DD-MM-YYYY) and voucher type.
- Export gives the filtered rows as CSV or Excel.
- Ctrl + Z undoes your last ledger choice.

Mappings: teach it your ledgers
How suggestions learn, and how to make a rule that works straight away.
How learning works
- Every ledger choice you save is remembered for that client.
- Choose the same ledger for the same kind of narration about five times, and we start suggesting it on our own.
- Correct a suggestion and it drops at once; correct it a second time and it is switched off.
- Want it working from the very next upload? Make a rule — rules apply immediately and win over our built-in suggestions.
Add a rule
- 1Open Mappings and choose the client.
- 2Under Add New Mapping, type a Narration Pattern, for example NEFT SALARY.
- 3Pick the Ledger Name from the client's ledgers.
- 4Click Add Mapping.
A rule matches when every word of your pattern appears in the narration, in any order. Long numbers (4 digits or more), UPI IDs, IFSC codes and prefixes such as UPI, NEFT, IMPS and RTGS are ignored, so keep the pattern to the words that identify the party or purpose.
Other tools on the Mappings page
- Test a Narration: paste a bank narration to see which ledger it would get, and why.
- Your Mappings list: search, filter, edit with the pencil icon, or delete with the bin icon. Frequency shows how many times a pattern has been confirmed.
- Learned name aliases: remembered each time you correct a party's ledger. They apply before everything else; edit or remove them here.
- Blacklist: block a narration pattern, a ledger, or both, from ever being suggested.
- Default Sales & Purchase Ledgers: the ledgers used for sales and purchase vouchers when a row has none. Click Save Defaults.
Review and push
Push to Tally
Send reviewed vouchers into the client's Tally company, safely and in batches.
Before you push: the Connector is green, the client's company is open in Tally, its ledgers are pulled, and your changes are saved.
- 1In the client's transactions, click Push to Tally · N ready. Only rows that have a ledger and are not yet in Tally are counted. Suspected duplicates are left out unless you tick Include suspected duplicates in this push.
- 2Read the check-up. Anything under Fix before pushing must be sorted out first; Worth checking is advice.
- 3If Fix Issues appears, confirm or reject close name matches, and create missing ledgers or stock items in Tally.
- 4Check the connection and the Tally port, choose the company, and click Push to the company.
- 5For a client's first push, confirm the company. The client stays linked to it for all later pushes.
- 6Keep Tally open while the vouchers go across. Stop finishes the current batch and then halts.
Vouchers go in batches of 50. When it ends you see All N vouchers pushed, or a list of the vouchers Tally rejected, each with Tally's own reason. Use Jump to row to fix one, or Copy error log (CSV). Rejected rows stay ready to push again. Pushing never uses credits — nor do retries.
Ledgers we create for you — and those we don't
Before sending the vouchers, we create any missing ledgers they need, such as expense heads and suppliers. For safety, these are never created automatically:
- bank, cash, loan, capital, investment and fixed-asset ledgers;
- anything under Duties & Taxes or Provisions, and any GST, TDS, TCS or cess ledger;
- placeholder names such as "Sales Account" or "Purchase Account".
If one of these is missing, the push stops before sending anything and lists the names. Create them in Tally, click Pull Ledgers, and push again.
Pushing the same voucher twice
Each voucher carries its own ID. If it is already in Tally, Tally updates that voucher instead of adding a second copy. The same bank entry appearing on two overlapping statements, however, is two separate entries — which is why suspected duplicates are left out by default.
If a push gets stuck
An unfinished push holds its rows for 30 minutes. If you see N vouchers are stuck, click Release stuck vouchers (it works for pushes started more than 5 minutes ago), then push again.
Common messages
| Message | What to do |
|---|---|
| Client is linked to a different Tally company | Open the right company in Tally, or edit the client's Tally Company if it has genuinely changed. |
| N companies are open in Tally, so the target is ambiguous | Keep only the client's company open, then push again. |
| Push stopped — create these ledger(s) in Tally first | Create the listed ledgers in Tally, click Pull Ledgers, and push again. |
| Tally did not answer the last request in time | Close any open window or message in Tally, wait a moment, and retry. |
| Tally is in Educational mode | Pushing needs a licensed TallyPrime. |
| Update the Chrome connector to version 2.0.5 or later | Update the extension from the Chrome Web Store, then reload the page. |
| Monthly limit of 1000 pushed transactions reached | This limit applies to the free trial. Buy a plan from Billing. |
| A voucher rejected by Tally | Read Tally's reason. The usual causes are a missing ledger, or a date outside the company's financial year. |
Review and push
Undo a push, and History
Correct something that is already in Tally, and see every push, pull and upload.
Undo a push (Unmark Synced)
- 1Tick the pushed rows in the client's transactions.
- 2Click Unmark Synced and confirm.
- 3The rows become editable again. Correct them and push again.
History
History lists every push, pull and upload. Use the Push, Pull and Upload tabs, filter by client, status (Completed, Partial, Failed, Undone) and date, and Export CSV or Print. Expand a row to see Tally's errors; Retry failed in Tally takes you to that client's transactions.
Work with clients
Ask your client about unclear entries
Send a link where the client explains each entry — no login needed on their side.
Send the questions
- 1In the client's transactions, tick the entries you cannot place and click Ask Client.
- 2Optionally set a Priority and a Query category.
- 3Type a question against each entry under Your Question — for example, "What is this payment for?" — and add a Message to client if you like.
- 4Under Evidence Requested, pick the documents the client should keep ready: Invoice / Bill, Payment Proof, Contract / Agreement and so on.
- 5Click Send to Client. A link is created. Click Copy, or share it with WhatsApp (enter the number with the country code, such as 919876543210) or Email (opens your own mail app).
What your client sees
- A simple page with your name, your message, and each entry's date, narration, amount and your question.
- A box under each entry for their remarks, and Submit Responses at the end. They can answer some entries now and the rest later, but a submitted answer cannot be changed.
- The documents you asked for are shown as a reminder only; the client cannot upload files on this page.
- The link works for 7 days. After that the client sees that it has expired, and you can send a new request.
Using the answers
You get a notification when the client replies, and the Dashboard shows how many requests are still waiting. Open Sent to Client:
- The tiles show requests that are Open, Partly answered, Expired and Answered.
- Expand a request to read each answer. Choose a ledger with Select ledger... and click Accept — the ledger is applied to the entry and remembered for next time. Accept All applies every answer that has a ledger chosen.
- Copy Link and WhatsApp share the link again. Remind only keeps a count of reminders — please share the link again yourself.
- Delete a request with the bin icon; its link stops working at once.
Work with clients
Let clients upload statements
Give a client a secure link to send you bank statements directly.
- 1Open Client Upload Links. You can also press Ctrl + K and choose Create client upload link.
- 2Click New Upload Link and choose the Client.
- 3Set Expires after (7, 14, 30, 90 or 365 days) and Maximum uploads (10 by default; leave it empty for no limit).
- 4Click Create Link, then Copy it straight away. For safety, the link cannot be shown again later.
- 5Send it to your client on WhatsApp or email.
- Your client opens the link without logging in and uploads one file at a time: PDF, Excel or CSV, up to 4 MB.
- Each file is processed straight away as a bank statement for that client, and you get a notification. It uses your voucher credits like any upload.
- Each link accepts up to 5 uploads an hour. Files are kept for 90 days.
- Click Revoke to switch a link off at any time. Files already received are kept.

Credits, plans and billing
What uses a credit, what is free, and how to buy a plan.
What a credit is
One voucher credit is used for each voucher we create for you — one bank entry, one invoice, one note. An invoice with several item lines is still one voucher. Credits are used when a file finishes processing and its vouchers are saved.

- Every plan has every feature and unlimited clients; they differ only in credits.
- Credits are valid for 365 days from purchase. It is a one-time payment — nothing renews automatically.
- GST at 18% is added at checkout. Any running offer is shown on the Billing page.
Buying a plan
- 1Open Billing and click the pay button on the plan you want.
- 2The first time, fill in your GST invoice details — legal name, state (place of supply), billing address, city and pincode. GSTIN and PAN are optional. These cannot be changed after payment, so please check them.
- 3Click Confirm & pay and complete the payment on Razorpay.
- 4Your credits appear at once, and the tax invoice is available under Payment History (it is also emailed to you).
Buying again, and which credits are used first
- Each purchase is a separate batch with its own 365 days. Buying again never shortens the credits you already hold.
- The credits that expire soonest are used first, so trial credits go before paid ones.
- You can buy the same plan again at any time. A smaller plan can be bought once the credits of your larger plan are used up.
- Only the account owner can buy; team members see Ask your team admin to buy.
If you run out
A file that needs more credits than you have is paused with the status Low Balance — nothing is half-billed. Buy credits and click Resume; there is no need to upload again. Expired credits are neither refunded nor extended, and deleting an upload or client does not return credits already used.
Usage Credits shows your balance, credits used over a period, vouchers pushed this month, where credits went (bank, loan, purchase, sales and so on) and which clients used the most. See the Refund Policy for when a payment can be refunded.

Team members
Invite your staff, choose which clients they see and what they may do.
Team mode is available on any paid plan (not on the free trial). You can have up to 10 team members, and they all use your firm's voucher credits.
Invite a member
- 1Open Team and click Invite.
- 2Enter their Email address.
- 3Under Clients they may work on, tick Full access to all clients (this includes clients you add later), or search and pick particular clients.
- 4Click Send Invite. They get an email with an Accept Invitation button. The link is valid for 48 hours; use Resend or Copy link if it lapses.
- 5They sign in or create an account with that same email address and accept.
What members may do
A new member starts with three permissions: View Dashboard, Upload Statements and Categorize. Change them in Roles & Permissions, or on the member's own page (then click Save access).
| Permission | Allows the member to |
|---|---|
| View Dashboard | See the Dashboard and Usage Credits |
| Create / Edit Clients | Add clients and change their details |
| Delete Clients | Delete clients |
| Upload Statements | Upload statements, registers and returns |
| Categorize | Assign ledgers, manage mappings and ledgers, and export data (including the audit trail) |
| Delete Transactions | Delete transactions and uploads |
| Send to Client | Ask clients questions and create upload links |
| Push to Tally | Push vouchers, pull ledgers and undo pushes |
- A member sees only the clients you assign. With no clients assigned, they see nothing.
- Members cannot buy plans or change their own access.
- Remove takes away a member's access at once. The work they did stays.
- If the person already had their own clients here, those are hidden while they are on your team and come back when they are removed.

| Billing records and invoices | 7 years |

Troubleshooting
Quick answers to the messages you are most likely to see.
| You see | What to do |
|---|---|
| Connector: Not detected | Use Google Chrome on a computer, install the Tally Connector from the Connector page, and reload the page. |
| Tally: Not reachable | Open Tally with the company loaded. In F1 → Settings → Connectivity, set TallyPrime acts as to Both and check that the port matches. |
| No bank ledgers found for this client | Click Pull Ledgers with the client's company open in Tally, or click Type manually and enter the bank ledger's name. |
| This statement does not add up | The balance check failed, so nothing was saved or charged. Upload the Excel or CSV from net banking, or use our template. |
| We could not recognise this statement's format | Use Download Template (.xlsx), or click Format not listed? Tell us so that we can add your bank's layout. |
| This appears to be a scanned (image-based) PDF | Download the digital PDF, Excel or CSV from the bank's website. |
| This file was already uploaded | Check the Document Library first. Choose Upload anyway only if you really want a second set of vouchers. |
| Low Balance | Buy credits on Billing, then click Resume on the upload. |
| Row N: … not imported | That row of your register has a problem, such as a missing date or supplier. Correct the row and upload the file again. |
| Suggested Ledger is blank | We were not sure. Choose the ledger yourself, or add a rule in Mappings. |
| You don't have '…' permission | Ask your team admin to give you that permission in Team. |
| Push stopped, or Tally rejected a voucher | See the common messages under Push to Tally. |
